At CRS we have developed an operation that is designed to handle hardcopy documents on a short term or long term basis. Our imaging services usually require us to store hardcopy records after digitizing them for a year or two.  In the process we have incorporated a long term storage service for clients that just want to store hardcopy documents. Sometimes clients choose both options.

CRS has made storing and retrieving hardcopy records simple, convenient and cost-efficient.  Our state-of-the-art storage facilities are open 24 hours a day, 365 days a year and feature box racking, climate controlled air, and anti-theft security and fire protection systems. A staff of document specialists is on-site at all times to ensure vital documents remain safe, intact and readily accessible.

To speed retrieval and ensure greater traceability throughout a record’s active lifecycle, the highly skilled specialists at CRS can index the medical records on-site at the hospital using our enhanced barcode technology. This generates an accurate records listing prior to off-site delivery. Once indexed, the records are boxed to further protect them from hazards such as water, light or other elements. These records are then shipped to a secure CRS storage facility. The boxes are logged into inventory and assigned a retention/location code enabling effective tracking of retrievals and returns.

TRADITIONAL STORAGE

A facility’s records are picked up by CRS staff and vehicles, palletized and usually indexed then transported to one of the CRS storage facilities. Each box is then indexed into our tracking system, barcoded and then placed in our long-term racking.  They are indexed by box number, range, pickup date, and type of material.  These records are stored in our secure facility until notification of destruction or recall. Hardcopy material can be returned to the healthcare facility once recalled or scanned and provided electronically.

SCAN ON-DEMAND STORAGE

A facility's records will be transported off-site to a secure CRS production facility. When a patient's documents are requested, the documents are scanned and securely sent to your facility accessible via the Web or VPN to be viewed or printed. The hardcopy documents are returned to file and never leave the CRS production facility until they are destroyed or permanently removed.

Software Utilized

eRECALL

eRecall – Web-based software developed to request records in storage by providing detailed information to assist with retrieval.  STAT request can be requested and tracked which immediately notifies CRS staff upon submission.  Records that are indexed to the patient level are incorporated in eRecall.  When requesting a record an alert will be provided if CRS has the record or if it’s been requested before. Status can be checked at any time during the retrieval process.  Reports can be generated to show turnaround times of requests.

MRVIEW

MRVIEW – Requested records are imaged utilizing MRVIEW’s Document Imaging Software and available to be viewed, printed or exported to a healthcare facility’s EHR.
