CRS specializes in on-site services so that your records will never leave your facility. Our concept also allows you the comfort of scanning newly created documentation therefore giving you an “electronic file room of active charts.” Utilizing imaging in this manner allows all the benefits of an electronic record and eventually leads to the elimination of the hybrid environment. In addition, scanning charts that become active again will allow the development of a true electronic unit record. This goal can only be achieved if charts are converted on-site at a client’s facility. If you implement an electronic file room, you will no longer face the costs associated with microfilming, offsite storage, folder purchases, paper chart creation, sorting, filing, retrieving, etc. In addition, all your record related tasks such as coding, physician signature, release of information, etc. – can now be performed with all of the benefits that an electronic record offers. When all active records are scanned and indexed in advance of the EHR deployment, there are impressive benefits that are derived from the instant and multiple-simultaneous access to these valuable clinical documents for both clinicians and administrative staff. An equally important payoff, however, comes when an EHR is installed. Since the electronic images can be easily uploaded to the EHR, the system will now incorporate all the clinical information for active patients. This eliminates the need for a hybrid system, enabling electronic access to the entire unit record and maximizing acceptance by clinicians. Achieving the electronic file room also supports the various governmental agency efforts to initiate the standardization of electronic documents.

CRS Remote Indexing & QA Services

Many facilities can scan efficiently and timely but cannot keep pace with the indexing and the QA process.  Our remote Indexing and QA services can assist by partnering with your healthcare facility to improve turnaround time and accuracy with no need to increase workspace at your facility.

Measuring and controlling document imaging output requires experienced, skillful staff that can perform needed tasks efficiently and cost effectively. CRS' document imaging/Indexing and QA specialists have years of technical, hands on experience, processing tens of millions of healthcare facility documents per year. CRS works together with each facility to follow established site specific criteria and policies.

  • CRS' Indexing and QA service can be performed on-site at a facility or remotely when restricted access or view only privileges are granted.
  • If remote Indexing and QA is performed, CRS can still compare scanned images to original documentation, as medical records are boxed up and shipped to a secure CRS production facility.
  • When Indexing and QA procedures are complete, original documentation can be returned to the facility or destroyed by CRS using our secure destruction method.
  • CRS provides detailed reporting to allow a facility to make informed decisions about its document imaging processes.
  • If any documents need rescanning or indexing, CRS can perform these duties as well.

Index & Image Quality Checklist:

  • Inspect the record/page ensuring it was scanned to the correct person's medical record and account numbers
  • Examine the image for proper depiction, brightness and contrast
  • Ensure the image was indexed properly
  • Ensure patient misfiles are identified
  • Verify the batch or box number used corresponds with original documents
  • Confirm order of the medical records
  • Review for blanks and/or duplicates
  • Perform a random sampling of work or 100 percent based on facility need

Flex Pay Imaging Plan

Agree to pay over a predetermined timeframe to lock in pricing for a specified term, usually 1 to 5 years. CRS picks up your facility's records for warehousing off-site with no storage fees at a secure CRS production facility. Documents are scanned according to an agreed schedule and the images are made available electronically for upload into your EHR system. The client would make monthly payments.
